What is useful, regardless of the stage they are at, is to have a few clear questions that make it possible to objectively assess whether the time has come to move towards a new stage of digitalization, or whether it would be better to first consolidate what already exists.<\/p>\n
Before thinking about the next step, it is worth taking stock of the starting point. Many companies have gradually incorporated digital tools in an unplanned way: an invoicing program here, a shared spreadsheet there, some messaging application to coordinate with the team. Although useful, this process does not always constitute coherent digitalization, but rather an accumulation of specific solutions to specific needs, which do not necessarily communicate or coordinate with one another.<\/p>\n
Making a simple inventory of which tools are used, what they are used for, and who manages them is a revealing first exercise. Sometimes, this review already highlights duplication, gaps, or processes that still depend on paper or personal memory, even before considering any new investment.<\/p>\n
There are fairly recognizable signs that a company is ready, or needs, to take an additional step. One of the clearest is the difficulty of obtaining up-to-date and reliable information when it is needed: if answering a simple question about sales, stock, or costs requires cross-referencing several files or asking different people or departments, the information is probably too fragmented.<\/p>\n
Another common sign appears when business growth starts to create bottlenecks that did not exist before. Processes that worked well with a small volume of customers or orders can become unviable as the company grows, simply because they rely too heavily on manual management or on the knowledge of a single person.<\/p>\n
It is also worth paying attention to dependence on specific individuals: if certain information or a particular process is only known or can only be carried out by one person on the team, this represents an organizational risk that digitalization can help mitigate by documenting and systematizing that knowledge.<\/p>\n
The timing is not always right to move forward. If the company is going through a period of significant internal changes \u2014a restructuring, the arrival of many new employees, or significant changes in its business activity\u2014 it may be wiser to wait until the situation stabilizes before introducing new tools, as the capacity to absorb simultaneous changes is limited.<\/p>\n
Likewise, if the existing digital tools are not being used correctly or fully, introducing new solutions before addressing this underlying issue tends to add complexity without resolving the real causes of inefficiency.<\/p>\n
Considering whether it is advisable to take the next digital step should not be based on a general intuition, but rather on an analysis and diagnosis that gathers specific data: which tools are used, what information is difficult to obtain, where bottlenecks arise, what dependencies on specific individuals exist within the organization\u2026<\/p>\n
This self-assessment exercise, which does not require significant resources or specialized technical knowledge, is often the most cost-effective step in the entire digitalization process: it allows efforts and investment to be directed where they are genuinely needed, avoiding both inaction and hasty investments that do not address a real business need.<\/p>\n
